BOARD MEETING CALLED TO ORDER AT 6:10 PM BY MEG RAPHEAL

 

The board meeting minutes for June and July were approved.  Doug made a motion, Meg seconded and all approved.

Carole will send them to the website team for uploading.

 

Antonette Alexander - Treasurer’s Report

  • Payments/Reimbursements:
    • Funds were spent on mailing supplies for the annual dinner, payment to the band for Music on the Lake, signage for Adopt-a-Drain and Shopify fees.
  • The operating budget balance is $111,690.
  • The NIRP Fund Balance is $50,042. The balance declined some due to money market fluctuations.
  • It was decided to seek a volunteer CPA for our annual tax return filing after this year’s has been filed/approved.

 

Dues Payments to date by Carole Moore

  • As of 8/8/22, $32,675 has been received in dues payments.  52% of lakeshore homeowners or those with deeded access have paid dues.  $1800 in donations was received YTD.
  • In 2021 at year end, we had received $27,550 in dues from 201 households and $2090 in donations.
  • As of this date, we received $11,250 for dinner reservations for 154 people. 12 people used Venmo. For the 2021 dinner, we raised $15,750 with 210 registrations.  Not all who register attended.

 

Meg Rapheal – President’s Report

  • Meg mentioned 2 people interested in joining the board this fall. Jennifer Anderson and Laura Shepler volunteered to join.  Jenn lives on Hobe Lane and Laura on Ethan Avenue N.
  • Carole sent another email to Matt Kocien regarding the letter received from Tom Weyandt in regards to runoff issues from the new high school under construction.
  • Those with Annual Meeting signs should bring them to the September meeting. Meg is wondering if we need to bring them or should someone just print out “Thursday” for the various signs and we can all take them home and tape to the signs?? Carole has some signs with BEAA Facebook photo on them and some just n plain white foam core. The words might be different sizes. Carole will get hers to Meg.

 

Doug Mulder - Vice President Report

 

  • Doug verified that Steve McComas will be at the annual meeting, but Matt Kocien has not yet confirmed his availability.
  • Doug received the 80 sets of recycled wine bottle logo glasses to be sold at the annual dinner. They cost $17/pair, the price we will sell them for may be $30-$32/pair.  These will be set up for sale near the wine raffle. Sue Wades’ daughters will be handling those sales.
  • PO Box rental is $173 per year. Doug will get that set up so BEAA has a permanent official address and payments could be submitted to that address if preferred by the person processing them.  Those needing access will be required to go to the WBL Post Office with a picture ID and another form of ID, such as an insurance card, etc.  Their identity will be verified.  Doug believed access will be via a key code.  Doug, Jack, Meg and Carole will have access at this time.  When the PO Box is set up, Doug will notify those needing access so they can register.

 

Annual Dinner –Sue

  • Board members who hadn’t brought liquor/wine contributions to the July meeting brought them to the August meeting. Sue and Deb will determine if more items are needed.  
  • Evelyn Duvall has been confirmed as the event volunteer photographer.
  • Antonette will bring bank bags with change.
  • All board members available should be at Dellwood on the day of the event at 10 am to set up and back again at 5 pm for final prep.
  • Sue took the squares and Carole will ask Adam Moore how to make them useable.
  • Dellwood will provide free valet parking. Sue and Deb will let Carole know the details so guests can be informed in advance and encouraged to tip the valet team.
  • Molly and Nick will help direct traffic to check out tables after the auction closes.
  • Sue’s daughters will be available to sell the wine glasses during the evening. Only cash, check or venmo will be used for wine glass purchases and “buy now” payments.
  • Sue will check with Vicki Baker regarding how many check in lists and what type she wants.
  • Carole will bring the requested check in lists.
  • Sue and Deb will define the check out process and instruct the board members handling check out. Those using Venmo or writing checks should include the auction item # in their payment.  Check out people can also watch to add item #’s to checks/venmo.

 

 

 


Shoreline Grants - Carole

  • As of 8/8, there are 3 RCWD approved shoreline restoration projects. $5,602.90 remains available for 2022.

At 7:30 Meg made a motion to adjourn, it was seconded and approved by all.

 

Next meeting is September 12 , 6 pm at Meg’s house.  Carole will be out of town so Jack agreed to take the minutes.  Bring any Annual Meeting Signs.
